Quickbooks is the #1 accounting package among small businesses. Typically it can scale very well so we often see it at larger businesses as well. When it comes to managing your financials there is no better and more accessible application. HOWEVER Quickbooks fails at the following:
- Providing different levels of access to those not directly involved in the finance side of the business
- Providing ANY customization of workflow at all beyond basic account functions (receivables, payables, simple inventory)
Quickbooks is also not customizable in any meaningful way. This is why having “hooks” to it is so important and valuable. Using these hooks we can can control Quickbooks for almost any function, including checking the existence, adding or modifying:
- Customers, items, jobs, and invoices
- Vendors and purchase orders

For Stigler printing, we implemented a complex estimating and project management system for Stigler’s printing divisions. Customers were automatically added to Quickbooks, and when a project was ready to invoice a job, were pushed to Quickbooks. Three people use Quickbooks but over 20 use FileMaker for the other functions.
For Grays’ Auctioneers, Sellers become Vendors for Quickbooks. Auction items get added to inventory and customers purchase these items and we automatically create an invoice in Quickbooks when the sale is complete. Again, many users access FileMaker for daily auction input, but only one Bookkeeper uses Quickbooks.
